OpenPROTRAK Item

Adding New Items

An OpenPROTRAK Item must also exist as an OpenMETRIC Item.   When you click New|Clear, you can type in a new item id, or you can choose from a list of OpenMETRIC Items. 

When you type in an item id, and that item does not exist on the OpenMETRIC Item file, this is referred to as a “new add”.   When you click New|Add, validation occurs, and if the data is valid, the system writes an OpenMETRIC Item record as well as a OpenPROTRAK Item record.  

When you are in add mode and you choose from the list of OpenMETRIC items, the system retrieves information from the OpenMETRIC item file in order to display it on the screen.

Fetching Items

There are several ways to access items in the OpenPROTRAK Item window.  As with any of the data subsystems, you may enter your id and click the bulls-eye on the toolbar.  You may “short key” the id and click the “next” button on the tool bar.  Or you may just scroll through the records, forward or reverse.  You may use the first record or the last record buttons on the tool bar, or you may use the search button on the tool bar.

As you observe the Identification block, you will notice 2 buttons adjacent to the item id.  The button to the left, which has the label “Item” on it, will display the most Recent Items that you have fetched.   If you click a line and click OK, the selected item is fetched and displayed on the item window.

There is a Record Finder button to the right of the item id field that displays a paged list box of all items currently in the OpenPROTRAK Item file.  You may filter these records if you wish to show only records matching some criteria.

Components and Test Stations

If the displayed item is a test station, you can view a list of its components by pressing the Component Of button immediately to the left of the Component Of field.

The field finder on the right may be used to list the valid test stations.  If you are entering or updating an item, you may select a value by clicking the line and clicking OK.  That value will be used as the Component Of value.

Contract Information

Information related to the contract or program is specified in the Contract frame.

Location, Facility, and Picture

The location field is the most recent known location of the item.  The By and Date fields identify the person who last confirmed the location and the date on which it was confirmed.

The Field Finder button on the right side of the location field may be used to select a valid location during record entry or update.

The Phys Inv and Date fields indicate when the location for the item was entered via the On-Line or Scanned Inventory function.

Status, Condition and Hazmat Type

The OpenPROTRAK status of the item and the date on which it acquired that status are defined.

The Field Finder buttons on the right side of the status field can be used to select a valid value during record entry or update.

The item’s current condition is specified.  A field finder button to the right of the condition field is used to select a valid value during record entry or update.

A Hazardous Material Type can be specified.  A field finder button to the right of the Hazardous Material Type field is used to select a value during record entry or update.

Values for OpenPROTRAK Status, Condition and Hazardous Material Type are specified in Reference.

Responsibility

The owning customer and using customer as well as a contact name may be specified in the Responsibility frame.

The Field Finder buttons on the right side of the owner and user fields may be used to select a valid customer when you are entering or updating an item.

Other responsible parties, such as Contact, Property Coordinator, and Delegation can be specified.

Ownership Checkboxes

A block on the lower right-hand side of the screen contains checkboxes for types of ownership.  Multiple items in this block can be checked.
